Srinagar/IBNS: The J&K government has ordered to relocate 500 surplus computers along with printers to the Civil  Secretariat in Srinagar from Jammu to meet their shortage and facilitate smooth implementation of e-office.

“Of 551 surplus computers at Civil Secretariat Jammu, 500 shall be relocated to Civil Secretariat Srinagar.  All the administrative departments handed over the surplus computers duly packed under proper receipt to designated Nodal Officer, Deputy Secretary, GAD, Dr Mohammed Usman Khan at the Civil  Secretariat Jammu for their safe transportation to Srinagar today and their subsequent installation on  June 5, 2021,” an official said quoting an official communication of GAD.

Accordingly, the General Manager, JKRTC has been requested by the General Administration  Department (GAD) to arrange a sufficient number of buses at Civil Secretariat, Jammu on June 4, at 9:30  AM for transportation of 500 all-in-one computers along with accessories and printers to Civil  Secretariat, Srinagar, the official said while referring to the aggressive efforts for the implementation of e-office.

The official said that the Chief Secretary had recently held a meeting with the administrative secretaries in which administrative departments were authorized to procure a required number of wireless dongle adopters for making the old PCs compatible for e-office and at least two high-speed scanners through the GeM portal by June 5, 2021.

The official said, “Most of the computers in the civil secretariats have outdated windows i.e., window 5  and window 7. It has become a stumbling block in the implementation of e-office which requires  window 10.”

“However, if the old systems (computers) are upgraded, we may be able to move comfortably towards the e-office,” the official added.

Besides, the official said the Information Technology department will provide services of nine IT professionals each at Jammu and Srinagar Civil Secretariat for technical support, training and hand-holding with regard to issues faced by the department during e-office implementation.

For this, he said, “All the administrative departments shall nominate four officers who will be trained by  the IT department as master trainers for their respective departments for the effective working of e-office in  the secretariat at Jammu and Srinagar.”

“The IT department shall immediately activate the Leave Application Module of the e-office so that the leave applications are also processed in e-mode from now on,” the officer said, quoting decisions taken in the recently held meeting chaired by the Chief Secretary, J&K.

“It was noted that the flow of files is not commensurate with the flow witnessed prior to the introduction of the e-office. Therefore, it has been decided that on June 7, 8, and 9, each section officer shall push 10 files to the e-office to check the overall working of the system,” an official said.

Referring to the attendance of the employees in the civil secretariat, the official said, “IT department  shall develop software to furnish login details of employees on a daily basis which shall be construed as  attendance of the employees in the civil secretariat till bio-metric attendance starts in the secretariat.”
